- System Specification

- The system is designed to achieve seamless integration between recording
- employee attendance (when they are at work) and what they are doing with that
- time. The organisation can then monitor attendance, holidays, personal and
- team performance and produce billing information for clients. Data can also
- be used by and exported to other systems. The system can be used stand alone
- by one person or by many on a network.

- Please telephone for a shareware copy if you don't already have one. The
- shareware version is a fully working version with a 2 user limit - so if you
- want to be really miserable you can avoid paying £60 for a two user network
- system and use all of its features - but you won't be able to get any support!

- 1. Hardware Requirements

- IBM PC or compatible

- System will run on a network - the number of users depends on the licence
- purchased. It is currently being used on a 200 workstation network.

- System performance increases dramatically on faster machines with high levels
- of RAM, but it will run on very modest machines also.

- Data entry and analysis in four week periods
- Easy to use menus and pick lists - "idiot proof"
- 12 hour clock
- Password system restricts access to individual sheets and denies access to
- parts of the system that shouldn't be operated by the casual user
- Management/Supervisor establishes length of day, half day, target hours for
- 4 week period, start and end of core time, carry forwards from period to
- period and week to week
- Choose which days are "work days". Not restricted to Monday - Friday
- Copes with part-timers/job sharers working "odd" hours - even those working
- different days/hours in different weeks
- Users led through data entry as required. System intelligently guesses which
- is the next date to be completed but this can be overridden e.g. to make
- corrections
- Time worked outside of core time or on non work days automatically added to

- Additional hours (e.g. work at home in evening) coped with

- 3. Time Logging Details

- Entry by JOB, CLIENT, ACTIVITY.
- Employees are taken to that day's time log on completion of that day's
- flexisheet.
- Employees choose jobs, clients and activities from pick lists and are forced
- (but also intelligently helped) to match what they have worked on with the
- total amount of time recorded on their sheet for the relevant day.
- Employees can enter work on a timed basis or as one off expenses as required -
- but only timed entries count towards the day's flexitime target.
- Facilities for absence and unproductive time etc, as required by the
- organisation.
- Batch entry of data is also possible.
- Easy maintenance of JOBS, CLIENTS, ACTIVITIES and RATES files.
- Time Recording period can be set to anything between 1 and 59 minutes
- Production of billing information for clients
- Reports to screen and printer showing performance over a selected period from
- Employee, Employee Work Group, Clients, Jobs and Activities perspectives.
- Output can be in ASCII Delimited Text format for use in other programs.

- Facilities for backing up, restoring, packing (reclaim disk space) and
- reindexing data
- System administrator can browse data files, change the master password and
- individual passwords (individuals can change their own password), security
- level (1-3), change printer, create and edit printer control files, and
- establish/alter the basic system settings. Data files are in Dbase III format
- so data can easily be used in other applications.

- notified of upgrades. Any serious bugs will be rectified and fixes sent to all
- registered users of the current main version number (i.e. 5). Suggestions for
- improvements are welcome from registered and non-registered users and, if
- feasible, will be included in future versions. Registered users should always
- quote their name and licence number in communications - the licence number can
- be obtained by pressing F2.

- DEFINITION OF SHAREWARE

- The Flexitime and Time Logging System is a "shareware program" and is provided

- pay for their copies of it within 30 days of first use or their license is
- withdrawn. Site-License arrangements may be made by contacting HJS Systems.

- Anyone distributing the Flexitime and Time Logging System for any kind of
- remuneration must first contact HJS Systems at the address below for
- authorization.

- This authorization will be automatically granted to distributors recognized
- by the ASP as adhering to its guidelines for shareware distributors, and such
- distributors may begin offering the Flexitime and Time Logging System
- immediately (However HJS Systems must still be advised so that the distributor
- can be kept up-to-date with the latest version of the Flexitime and Time
- Logging System.).
